Giving others editing access to your Google Calendar lets them add, edit, or delete events on your behalf. This is a helpful tool for personal assistants, team coordinators, or family members. Here's a step-by-step guide on how to grant this access.
Granting Access
To give someone editing access, you must use a computer. This feature is not available on the Google Calendar mobile app.
- Open Google Calendar on your web browser.
- On the left side of the screen, find the "My calendars" section and hover over the calendar you want to share. A three-dot menu will appear.
- Click the three-dot menu and select Settings and sharing.
- In the left-hand menu, under "Settings for my calendars," click the name of the calendar you're sharing again.
- Scroll down to the "Share with specific people" section and click the Add people button.
Enter the email address of the person you want to share your calendar with.
- In the Permissions dropdown menu, select Make changes and manage sharing.
- Click the Send button. The other person will receive an email invitation to access your calendar.
Levels of Access
When sharing your calendar, you can choose from different permission levels. For editing access, you must select Make changes and manage sharing.
- See only free/busy (hide details): This shows others when you're busy or free without revealing event details.
- See all event details: This allows others to see event names, locations, and descriptions. They cannot edit anything.
- Make changes to events: This level lets others create and edit events, including event times and guest lists. They can also delete events.
- Make changes and manage sharing: This is the highest level of access. It includes all the permissions of "Make changes to events" and also allows the user to share the calendar with other people and change their permissions.
Removing Access
If you need to revoke access, you can do so by returning to the same "Share with specific people" section in your calendar settings.
- Click the X icon next to the person's email address.
- Click Save. The person will no longer have access to your calendar.
