This article will walk you through how to use a Google Sheet's Mail-Merge feature with Gmail, to send personalized emails to multiple recipients with one email template.
Step 1:
- Use this link to copy the Google Sheet that has the mail-merge script attached, and Select "Make a Copy": https://docs.google.com/spreadsheets/d/1w8bnEEei0U5fYcOJXfA7ItdyXxnUGnQGJ4vFZrZE04Q/copy
Step 2:
- Edit the first column header names to correspond to the data you will need replicated in your emails. Do NOT edit the "Recipient" column header. Ex: If you don't want your email message to include the recipient's last name, you'd delete the "Last Name" column:
- Or if you were sending an email to request an overdue balance, you'd add a column titled "overdue balance" and include "{{overdue balance}}" in your email template:
Step 3:
- Construct an email draft with the template of what you'd like your email to say. Include the column headers from your Google Sheet between sets of "{{ }}" as placeholders for where you'd like that column information placed. Placeholders are case sensitive and must exactly match the column headers:
Step 4:
- Once you are confident that your email template is ready, you can practice your email template and mail merge by using your own email in row 1, and leaving the rest of the rows blank.:
Step 5:
- Start the mail merge process by selecting "Mail Merge" in the google sheet. Then select "Send emails":
Step 5:
- Select "OK" to authorize the script to run:
Step 6:
- This script is safe to run, select "Advanced":
Step 7:
- Select "Go to Gmail/Sheets mail merge (unsafe)":
Step 8:
- Select "Allow":
Step 9:
- Copy the subject line from your email draft into the box that comes up in Google Sheets and select "OK":
Step 10:
- After you use the "Mail Merge" function, the "Email Sent" column will say the date and time your email was sent:
That is the last step for this article, if you have any other questions or need any adjustments made to how the script runs(ex:you need to include a "bcc" in your emails), please feel free to reach out to our HelpDesk team at help@icom.edu.
